NOTE: A user or a Team Share the user is a member of must have Learning Path privileges assigned to their DEVOS account in order to create and manage Learning Path courses. For more information, search for Privileges in the support knowledge base.
Once a Learning Path course has been created in DEVOS, the next thing that needs to be done is to determine who can view the course. By default, only users that have had the Learning Path course assigned to their DEVOS account or who have received an invitation can view the course. The exception to this rule is if Allow Guest is checked in the Learning Path course settings. If this checkbox is checked, then users who do not have an account in DEVOS can still view the course. If Allow Guest is not checked, then when the user clicks on the link to view the Learning Path course, they will either be directed to the course or to the Sign-In page to sign in to their DEVOS account.
Allow Guest on a Learning Path Course in a Channel
If a Learning Path course is set to allow guest access and is assigned to a channel, any user can simply click on the link in the channel under Courses to view the course. In this case, the user is not identified to the system, so the user will first see a form requesting that they fill in their first and last name and email address.
NOTE: This will not create an account for the user in DEVOS, but it will allow the reports for DEVOS to include the name of the person who viewed the Learning Path course along with their score and any results of questions they may have answered.
Inviting a User Without a DEVOS Account to View a Course
To invite a user without an account in the DEVOS system to view a Learning Path Course, first go to Manage Course under Learning Path in the DEVOS Admin Portal.
Next, click on the Invite button for the Learning Path course you wish to invite someone to view.
In the first box, click on +Add next to Import Emails. If you are inviting more than one person, you can add them one at a time, or you can click the Browse button to upload a text file with a list of email addresses to invite. The text file can be called anything you want, but it must end in a .txt file extension. Simply create a text file with one email address per line to be imported into the Learning Path course invitation.
Once all the email shave been added to the invitation, click on the arrow to the right of the selected emails list and then click on Next to move on to the creation of the email to be sent to the people being invited. Enter a subject and body for the email invitation you wish to send to the selected email addresses and click Finish to send the email.
You will then be shown a confirmation of the message you sent and presented with the opportunity to exit the wizard or create another invitation. An email will be sent to the email addresses that were invited with the content of the email you created and a link for the user to click on to view the Learning Path course. Once they click on the link, they will be invited to enter their first and last name along with their email address to identify themselves to the system.
Inviting a DEVOS User to View a Learning Path Course
To invite a user with a DEVOS account to view a Learning Path Course, click on Manage Course under Learning Path in the DEVOS Admin Portal and then click on Invite for the course you wish to invite the user to view.
Next, search for each user to add to the invitation, select them by name once found, and add them to the selected users window below. Alternatively, if you have access to DEVOS security groups, you can select the entire Security Group to invite all the member users of that group. Select the down arrows for individuals or all to add them to the invitation.
NOTE: To add users by Active Directory Group, you must first create a DEVOS Security Group with the members of that Active Directory group assigned to it first.
Once all users to be invited have been added, click Next to proceed to the next step to create the email invitation.
Enter a subject and body for the email invitation you wish to send to the selected email addresses and click Finish to send the email.
You will then be shown a confirmation of the message you sent and presented with the opportunity to exit the wizard or create another invitation. Either way, an email will be sent to the email addresses that were invited with the content of the email you created and a link for the user to click on to view the Learning Path course. Once they click on the link, they will be invited to log in to DEVOS, if they were not already logged in. If they are already logged in, they will go immediately to viewing the Learning Path course.
Assigning a Learning Path Course to a DEVOS User
Another option for a DEVOS user to view a Learning Path course is to assign that course to a user or group of users. Next, select the Learning Path course you wish to assign.
Next, search for each user to assign the course to, select them by name, and add them to the selected users window below. Alternatively, if you have access to DEVOS security groups, you can select the entire Security Group to invite all the member users of that group. Select the down arrows for individuals or all to add them to the invitation.
NOTE: To add users by Active Directory Group, you must first create a DEVOS Security Group with the members of that Active Directory group assigned to it first.
Click Assign at the bottom of the page to assign the Learning Path course to the user.
